@Avery the other “evening ceremony” cost that sneaks up is venue-mandated security and elevator operators for “after-hours” load-out — I add a 90-minute buffer line item and confirm parking/valet rates past 10pm so the couple isn’t surprised. If the venue allows, I shift pickups to a morning window to dodge premiums. Elevators get pricier after midnight, kind of a Cinderella situation.
I’ve been burned by shuttle and valet overage on night timelines, so I set a contract “last pickup” time, add a 15-minute buffer for load-out, and issue backup Uber codes for VIPs — piggybacking on @Avery’s point about after-hours staffing with a cheaper safety net. Also, after one “flower cloud” tried to audition as a fog machine and chased our DJ, we now mark a no-fan/no-uplight zone under suspended installs.
Quick example: after a ceiling install drifted toward the booth once, I now request an “HVAC lock” and a 30-second haze check with the DJ at rehearsal; it’s kept decor steady and avoided alarm fees. If the venue can’t lock the system, I add a nearly invisible safety tether as a backup.
